How to Plan an AI Integration for Existing Software

Adding AI to existing software starts with a business task. An application may benefit from summaries, response drafts, request classification, or an assistant. Before choosing a provider, clarify the user’s goal, the information involved, and how the new capability fits the product that already works.

1. Define one result you can evaluate

Describe the task in concrete terms. Instead of asking for AI across an entire application, choose a specific input and desired output. For example, a support team might need a draft summary of a request that a person can review. Gather representative examples, including difficult or incomplete inputs, and decide what makes an output useful.

2. Identify the systems and information involved

  • Which application or business tool will host the feature?
  • Is source code or a supported API available?
  • Where does the information come from, and who can access it?
  • Where should the result appear, and who reviews it?
  • Are there project-specific confidentiality or data-handling requirements?

These details affect feasibility and scope. Do not send production credentials or confidential customer records in an initial enquiry. Discuss access and data requirements before sharing project material, and use appropriate example data for early evaluation.

3. Plan the human review and failure paths

An integration should account for missing information, unclear results, provider failures, and duplicate requests. Decide whether a result is a draft, a suggestion, or an approved action. Identify which steps require a person’s review before information is sent to a customer or a business record is changed.

4. Understand the cost drivers

Cost depends on the application, integration work, information sources, user interface, testing needs, and ongoing operation. An existing AI service may be suitable without training a new model. Request a scoped proposal that separates development work from expected provider and maintenance costs. A generic headline price cannot describe every integration.

5. Agree acceptance criteria and ownership

Review the feature using the examples gathered at the start. Confirm where it appears in the application, how review works, and what users see when it cannot help. Agree who maintains the integration and how changes to your application or an external provider will be handled. Useful delivery includes the surrounding product behavior, not just a successful model response.

Bring a focused brief to the first discussion

A useful brief includes the current application, the task you want to improve, example inputs and outputs, required review steps, key integrations, and your preferred timeline. Those details help a development team identify dependencies and propose a first version that can be evaluated before expanding.
